Key
Accountabilities:
1.Admin
for project core team:
•Book
and arrange meeting rooms, prepare meeting aids (LCD, phone set for telecom,
markers, sticker notes, tea break,...)
•Record
time attendant for team member
•Book
flight ticket, hotel and transportation for those are on business trips
(arranging travel and accommodation)
•Contact
travel agency for offside meeting and trade visit
•Book
and order taxi/van for business trip/outside meeting
•Get
approval on Expense Claim form of the tracks/general and send to payable
accountant
•Raise
requisition for project supported items (electronic/IT stuff)
•Ordering
and maintaining stationery and equipment supplies
•File,
backup and archive documents: contracts, invoices,...
•Manage
calendar booking of country project
•Meeting
and greeting visitors at all levels of seniority
•Others:
Any admin job that the team requests such as document copying, CD/DVD
burning, photograph printing...

Assistant for Country Project Director & Project Management Office
Lead:
Assist
for Country Project Director:
•Manage
calendar booking (Schedule appointments, conference calls...)
•Prepare
and organize all relevant papers, reports and files for Project meetings
•Prepare
presentations and other ad hoc reports as required by the Country Project
Director
•Assist
in flight arrangement, visa and hotel for business trip
•Provide
support in procedures such as: expense claims, applying for leave...
•Monitoring
monthly Indirect
•Any
other related assignments directed by the Project Director
Support
PMOL:
•Arrange
for the Logistics of trainings (Users, SAP Training,...) and meetings (WS #
0,1,2,3,...)
•Support
project workshops preparation (agenda, arrange meeting rooms
•Support
Visa/transportation/hotel for regional team
•Support
PMOL in critical phases (documentation of gate sign-off)
